Code of conduct
Introduction
IDA Foundation is an expanding organisation whose mission is to improve access to and deliver high-quality essential medicines and medical supplies to low- and medium-income countries.
IDA Foundation is committed to:
• a standard of excellence in every aspect of our business and in every corner of the world
• ethical and responsible conduct in all of our operations
• respect for the rights of all individuals
• respect for the environment
• adherence to national and international law
This Code of Conduct has been drawn up in order to position IDA Foundation clearly to our suppliers, sub-contractors, staff, agents and other parties.
A. Supplier Relationships
We seek to develop long-term business relationships with our suppliers. Our supplier relationships are based on the principle of fair and honest dealings at all times. The relation is open-minded, down to earth and straight.
B. Health and Safety
Suppliers will provide employees with a safe and healthy workplace in compliance with all applicable laws and regulations, at least ensuring reasonable access to drinking water, sanitary facilities, fire safety, adequate lighting and good ventilation.
C. Legal Requirements
All our suppliers must follow the national laws that are applicable in the countries where they are operating. When national laws change, our suppliers/agents will inform IDA Foundation immediately. Suppliers make sure that the ordered goods are manufactured in compliance with the standards for environmentally deleterious substances that are valid in the European Union, with all other European Union standards, and that there are no legal obstacles to sell those goods to consumers in the target markets of IDA Foundation.
D. Employment Conditions
All IDA Foundation’s suppliers must respect the fundamental human rights.
The use of child labour, where the child is younger than 15 years (or 14 where local law allows), is absolutely unacceptable. In countries where the law permits apprenticeship programmes for children between 12 and 15 years of age, we will accept that children of this age work a few hours a day (e.g. Unicef-projects). A person is a child until the age of 18 (UN convention of the rights of a child) and therefore we recommend our suppliers to make sure that employees in the age group 15-18 years are treated properly.
Wages and benefits must be fully comparable with local norms and local laws.
Suppliers will not discriminate in hiring employees in any form or manner.
Suppliers will treat each employee with dignity and respect.
E. Environmental Conditions
All our suppliers shall, whenever possible, produce the products in such a way so that the environment, air, water or soil will not be polluted due to the production and disposal of waste. In case chemical and/or toxic waste or remaining scrap is created as a result of the production process, the supplier shall take all possible measures to rework or dispose this waste and/or remaining substance, as such that the direct or indirect environment is minimally influenced.
In all circumstances the suppliers to IDA shall follow the local government regulations, as well as the international acceptable standards for reduction of environmental pollution.
F. Attachment
The ETI Base Code, which is also applicable, is attached to and considered a part of this Code of Conduct.
G. Monitoring
All suppliers are obliged to keep IDA Foundation informed of each order that is being produced. Suppliers will authorise IDA and its designated agents, including third parties, to engage in monitoring activities to confirm compliance with this Code of Conduct. Suppliers will maintain on-site all documentation that may be needed to demonstrate compliance with this Code of Conduct.
H. Non-Compliance
When we find that a supplier does not comply with the Code of Conduct, IDA Foundation will terminate its business-relationship with this supplier if corrective measures are not taken within the agreed time frame. If there are repeated violations of the Code, the cooperation with the supplier will be terminated immediately and existing orders will be cancelled. In case of termination, the supplier is not entitled to any compensation.
I. General
This Code of Conduct is a mandatory requirement for all suppliers who do business with IDA Foundation. New suppliers to IDA are checked by the country agent or IDA staff and will be obliged to sign the Compliance Commitment.
Suppliers will conform to any subsequent additions or amendments to this Code of Conduct.
